Client Dashboard
The Client Dashboard gives you a complete, client-specific view of documents, batches, and validation status.
Think of it as your mission control for each client: clear metrics, organised documents, and AI guidance right where you need it. To access a client dashboard simply click on the client card in the main clients page.
📊 Key Metrics at the Top

Every Client Dashboard starts with four simple numbers:
Total Documents – everything you’ve processed for this client
Need Attention – documents with errors or warnings
Ready to Submit – compliant documents that can go straight to myDATA
Active Batches – how many batch uploads are currently linked to this client
Colours guide your priorities: 🟢 green means good, ⚠️ yellow means caution, 🔴 red means action required.

Documents Tab

See every document tied to this client — whether they’re the issuer (seller) or counterparty (buyer).
Each document is clearly marked as 🟢 valid, 🟡 warning, 🔴 error, or ⚪ pending.
Smart search helps you find invoices by number, client name, or issuer.
Click into a document to review details, errors, and corrections.

Look at documents in groups instead of one by one. Each batch shows:
Batch name (e.g., “July_2025_Invoices”)
Import date
Number of documents, broken down by status
Click into a batch to review details, errors, and corrections.
🎚️ Smart Filtering: Focus on What Matters
Think of filters as your control panel for slicing through client data.

Document Filters
Use these to refine the Documents tab:
Role → See all docs, just sales (issued), or just purchases (received).
Date Range → Pick exact months, quarters, or custom dates.
Amount Range → Quickly find small receipts, mid-tier invoices, or big-ticket outliers.
💡 Example: “Show me all purchase invoices over €500 from January.”
Batch Filters
On the Batches tab, you can:
Filter by import date (great for period reviews).
Search by batch name (e.g., “Q2_2024_Upload”).
Real-Time Search
Search works across invoice numbers, counterparty names, client names, and references. Combine search + filters for laser focus.
💡 Example: Filter by role = Counterparty and search “Alpha Ltd” → instantly see all invoices where your client bought from Alpha Ltd.
🤖 Ask AI for Help
Instead of scanning line by line, let the AI explain what’s wrong and how to fix it.
Select the documents or batches you want to analyse.
Type a question like “Why are these invoices failing validation?”.


Get plain-language guidance on what needs fixing and how to resolve it.
The AI is client-aware and understands myDATA rules. It can:
Explain validation errors
Suggest bulk fixes for recurring problems
Confirm which invoices are safe to submit
👉 Try: “Show me the most common error patterns for this client” or “Which invoices are ready to submit today?”.

What Makes It Different
Client-aware → Knows this client’s VAT, country, industry.
Selection-based → Only analyses the docs/batches you pick.
myDATA-trained → Speaks the language of AADE rules, VAT categories, and XML validations.
Action-oriented → Doesn’t just explain, it suggests how to fix.
How to Use It
Select documents or batches (use filters first to narrow the list).
Click the AI Chat button 💬.
Ask a specific question.

From the dashboard, you can:
Upload new documents already tagged to this client
Edit client details (VAT, address, currency, industry) for future validations
Delete client (documents remain in the system, but lose their client link)

Daily Routine
Check the metrics first thing in the morning.
Open new batches to see if errors popped up.
Filter by errors and fix what’s broken.
Use AI for quick explanations and recommended fixes.
Month-End Closing
Filter by current month and role = issuer.
Compare “Ready to Submit” with total invoices.
Fix any outstanding issues before submissions.
Client Audits
Pull all documents for one client in seconds.
Filter by amount or date to catch anomalies.
Ask AI: “Summarise error trends for this client over the last quarter.”
🚨 Troubleshooting
No documents showing? They may not be tagged correctly — check the global Documents page or the Vendor Dashboard.
Metrics look off? Clear your filters; totals reflect what’s on screen.
AI button greyed out? You need at least one document/batch selected and a question typed in.
Search not working? Try partial terms (e.g., “ABC” instead of “ABC Corp Ltd”).

Stack filters (role + date + amount) for precise views.
Track your “Ready %” (Ready ÷ Total) as a quick compliance health check.
Run a weekly AI query to spot recurring client issues early.
Use batch-level analysis to compare error rates across different sources.
❓ Common Questions
Q: Can I recover a deleted client? A: No — deletion is permanent. Always export or back up first.
Q: Why are my client stats missing? A: The client may be new with no documents yet, or data is still syncing. Try uploading a test document.
Q: My error counts seem unusually high — what should I do? A: Check VAT, currency, and address fields first. These are the top causes of failed validations.
Q: I think I created a duplicate client — now what? A: Merge the data manually, reassign documents to the main record, then delete the duplicate.
